How we use and protect your personal information, and your rights.

Who we are

Apex Accountants & Tax Consultants Ltd ("we") is responsible for the personal information described in this notice. We're registered in England and Wales, company number 11692441, at 38 High Street, Heckmondwike, WF16 0AQ, and we're registered with the Information Commissioner's Office (ICO).

Visiting this website

This website doesn't use cookies, analytics or any other tracking. Like all websites, it's stored with a hosting company, IONOS, which keeps standard server records such as the IP address, browser type and pages requested. These records are used to keep the site secure and working.

When you contact us

Our quote form opens your own email app with your message ready to send, so your details reach us as a normal email. When you call or email us, we use your name, contact details and anything you tell us to reply to you and give you a quote.

We do this because you've asked us to, as a step before we may agree to work together. If you don't become a client, we delete your enquiry within 3 months.

If you become a client

To do your accounts and tax work, we hold information such as:

  • your name, address, date of birth and contact details
  • identity documents, which the law requires us to check before we act for you
  • your National Insurance number and HMRC references
  • financial records, bank details and tax information
  • information about your employees, if we run your payroll
  • information about family members, where it's needed for your tax affairs

We use it to carry out the work in our engagement letter with you (our contract), to meet our legal duties, including anti-money laundering and tax law, and for our legitimate interests in running the practice, such as keeping proper records and dealing with queries or complaints.

Who we share it with

  • HMRC, Companies House and pension providers, when we file or report on your behalf
  • the software providers we use to do the work, such as accounting, payroll and email services, under contracts that protect your information
  • our anti-money laundering supervisor, professional advisers and insurers, when needed
  • the police or other authorities, but only where the law requires it

We never sell your information or pass it to anyone else for marketing.

Information stored outside the UK

Some of our service providers, such as our email provider, may store or process information outside the UK. When they do, they must protect it with safeguards approved under UK data protection law.

How long we keep it

We keep client records for as long as the law and our professional rules require, usually 6 years after our work for you ends, and then delete them securely. Anti-money laundering records are kept for 5 years after our relationship ends, as the law requires.

Your rights

You can ask us to:

  • give you a copy of the personal information we hold about you
  • correct anything that's wrong or incomplete
  • delete your information, or limit how we use it
  • stop using it, where we rely on our legitimate interests
  • send your information to you or another organisation in a common digital format

Some of these rights don't apply where the law requires us to keep records. We'll reply within one month, and there's normally no charge.

Complaints

If you're unhappy with how we've handled your information, please tell us first and we'll try to put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Changes to this notice

We'll update this page if the way we use personal information changes. It was last updated in September 2026.
